Case Overview

Since 2008 Destination Solutions have been venue sourcing & event planning for (more than) one of London's Royal Colleges.  This particular programme hosts a plethora of GP's & Doctors from across the UK, and is vital for them to review & set exam questions for future practitioners.  With an intense itinerary, the 2-day programme involves a complex combination of break-out sessions utilising several rooms, a main plenary and group dinner. But when Coronavirus meant travel was restricted, the college looked to Destination Solutions to provide a hybrid solution to enable them to still proceed.

Results: 

Whilst 4* city locations are secured year-on-year for this client, 2020 saw plans develop a bit differently for this event!

 Covid precautions: Knowing the needs of the event allowed us to pro-actively suggest a suitable Virtua/Hybrid platform to have on  standby in order to allay concerns over unknown future travel restrictions. The back-up plan was ready to deploy at the drop of a hat with minimal financial implication. This allowed the client peace of mind that their event objectives could still be met, despite the uncertainty.

Main room for 100 cabaret

100 bedrooms x 2 nights

6 Break-out rooms (3 x 18 cabaret, 3 x 16 boardroom)

Needs & Challenges:

"We need a partner with a detailed understanding of the inner workings of this complex event, for this event to be a success.

  • Break-out proximity of vital importance.(complex, differing & changing proximity, layout and capacity requirements throughout the programme).

  • Tight schedule, so efficiency of maximum importance

  • Location needs to change each year to allow varied attendance.

  • NEW: Back-up Hybrid option in place, to safeguard against disruption from further lockdowns that may prevent delegates from traveling.

 

Our Solution:

 Developing a long-term partnership with this Royal College has resulted in an intrinsic understanding of the driving factors behind the programme requirements. This allowed us to pro-actively advise of new technologies that could enable the programme to run effectively despite uncertainties, as if we were part of the clients' own in-house staff.

 

Over the years we have also been able to head off potential venue generated problems at planning stage, minimising stress client-side & allowing the events to run smoothly year on year.
